Event Management Company Hong Kong Prices: What Determines Your Budget

There is no standard price list for full-service event management in Hong Kong. Budgets scale with guest count, venue and how much production the night needs. Where yours lands comes down to five line items, plus one design choice that can bring the total down.

Worked example: here is how a typical planning split plays out for a 200-guest gala with a HKD 400,000 budget. It's an illustration, not a quote.

  • Venue (20 to 30%): HKD 80,000 to 120,000

  • Catering (30 to 40%): HKD 120,000 to 160,000, roughly HKD 600 to 800 a head

  • AV and production (10 to 20%): HKD 40,000 to 80,000

  • Staffing and management (5 to 10%): HKD 20,000 to 40,000

  • Contingency (10 to 15%): HKD 40,000 to 60,000

At the low end that leaves about a quarter of the budget for entertainment, decor and everything else. At the high end it overshoots, so you choose where to sit high and where to sit low. In a hotel ballroom priced on a food-and-beverage minimum spend, venue and catering often become a single number.

1. Venue is the first number to pin down

Planning guides put venue hire at around 20 to 30 percent of a corporate event budget, with catering another 30 to 40 percent (Venuefinder, January 2026). In Hong Kong the two often arrive as one figure, because many venues quote a minimum spend instead of a hire fee.

Many Hong Kong venues quote a minimum spend instead of a hire fee. In October 2026, annual dinner venues listed on Venuerific started from HKD 5,000 to HKD 50,000 minimum spend, or HKD 180 to 350 per person, and Hire Space listed the Harbour Grand Hong Kong's Grand Ballroom from a HKD 10,000 minimum spend for daytime use.

Location, timing, and access windows all shift these numbers fast.

2. Catering: style of service matters as much as headcount

Catering is usually the largest single line. Corporate buffets can start around HK$450 per person, while formal multi course dinners climb considerably higher depending on menu design and service style. The type of experience you want shapes this number more than guest count alone.

3. Production and technical costs reflect the experience

AV, lighting, staging and technical support usually take 10 to 20 percent of the budget. This is where immersive design lives, and where corners cut early often show up loudly on show day.

4. Staffing and contingency protect the whole plan

Event-day staffing and management usually sit around 5 to 10 percent. Advice on contingency ranges from 5 to 10 percent (Venuefinder) to 10 to 15 percent (Azavista). The higher end is the safer plan, because skipping contingency is one of the fastest ways a well planned budget falls apart mid event.

5. Why event management company Hong Kong prices can actually fall with smarter design

Some of the biggest savings come from design decisions made early:

  • Reusable staging and decor cut repeat production costs across events

  • Donated or repurposed materials reduce disposal and storage fees

  • Upcycled elements often cost less than one time custom builds

How we price our own work

  • Our management fee is either a flat project fee or a percentage of production volume. It covers planning, producer hours and on-site execution.

  • Every budget is itemised line by line. Variables such as venue overtime or government permit costs are flagged upfront.

  • Scope changes go through a written change order that you approve before anything is spent.

  • Payments follow milestones: a deposit to secure dates and vendors, progress payments, then the balance before the event.

  • There are no fixed packages. Every brief gets its own budget.
